Terms of Service

These Terms of Service (the “Terms”) are a binding agreement between you and [LEGAL ENTITY NAME], a [STATE] [ENTITY TYPE] doing business as “Dental.me” (“Dental.me,” “we,” “us,” or “our”). They govern your access to and use of the dental.me website, our dentist directory, practice dashboards, and any paid Featured placement or other service we offer (together, the “Services”).

By accessing the Services, creating an account, claiming a practice profile, or purchasing a Featured placement, you agree to these Terms. If you do not agree, do not use the Services.

Section 16 contains a binding arbitration agreement and class action waiver that affect your legal rights. Please read it carefully.

1. What Dental.me is — and is not

Dental.me is an independent informational directory of dental practices. We organize practice profiles by location and specialty so that visitors can compare offices on factual details such as location, services, hours, public ratings, review volume, and profile completeness.

Dental.me is not a dental or medical provider and does not provide dental, medical, or health advice. Nothing on the Services is a substitute for professional diagnosis or treatment. A profile on Dental.me is not an endorsement, referral, recommendation, certification, or guarantee of any practice, provider, or outcome. We do not verify clinical competence, licensure status on an ongoing basis, malpractice history, or treatment quality.

You should independently confirm all details — including services offered, insurance accepted, credentials, hours, pricing, and availability — directly with the practice before relying on them or seeking care.

2. Eligibility

You must be at least 18 years old and able to form a binding contract to use the Services. If you use the Services on behalf of a practice or organization, you represent that you are authorized to bind that entity, and “you” includes that entity.

3. Accounts and account security

Some features require an account. You agree to provide accurate information, keep it current, and keep your credentials confidential. You are responsible for all activity under your account. Notify us promptly at support@dental.me if you suspect unauthorized use. We may suspend or terminate accounts that we reasonably believe are inaccurate, fraudulent, or in breach of these Terms.

4. Practice profiles, claiming, and verification

Most practice profiles on Dental.me are created by us from the sources described in Section 5 and exist whether or not the practice participates. Claiming a profile is free.

Claiming. By claiming a profile you represent and warrant that you own the practice or are authorized by the practice to manage its listing. Claiming a profile you are not authorized to control is a material breach of these Terms and may violate other laws.

Verification. We may verify authority by telephone, email, mailed correspondence, or by requiring a valid payment card. Adding a card for verification does not by itself create a charge. Verified practices may publish most profile edits immediately; unverified practices’ edits are reviewed by our team before going live.

Practice name changes. To protect against listing hijacking, minor corrections to a practice name may publish immediately, while substantive name changes are held for review before publication. We may decline any change we cannot substantiate.

We may revoke a claim or verification at any time if we reasonably believe it was obtained improperly, if authority cannot be substantiated, or if the account is misused.

5. Where our data comes from

Practice profiles are assembled from sources including the federal NPPES provider registry, publicly available business-profile data, practice websites, owner-submitted updates on claimed profiles, corrections submitted by users, and confirmations completed by our staff. Geographic attributes may be derived from public reference data, including U.S. Census ZIP-to-county relationship files.

We work to keep profiles accurate and cross-check details where practical, but information changes and errors occur. We do not warrant that any profile is complete, current, or error-free. Anyone may submit a correction, and practice owners may claim a profile to maintain it.

6. Rankings and the Dental.me Score

Organic results are ordered by the Dental.me Score, an independent model built from star-rating strength, review-count confidence caps and a limited verification lift, with exact review-count tie-breakers and then profile completeness used only to separate practices that would otherwise be level.

The Dental.me Score and organic ranking position cannot be purchased. No payment, advertising relationship, or Featured placement changes a practice’s Dental.me Score or its position in the organic list. Featured placements are paid, clearly labeled, and displayed separately from and above the organic results. We may change the scoring model at any time as we improve it; scores are informational and are not a warranty of quality.

7. Featured placements and other paid services

Featured placement is an optional, clearly-labeled paid promotional position at the top of a city or specialty page, limited in number per market. Featured placements are governed by these Terms together with our Featured Placement Terms, our Advertising & Sponsorship Policy, and our Refund & Cancellation Policy, each incorporated by reference. If there is a conflict regarding a Featured placement, the Featured Placement Terms control.

8. Subscriptions, billing, and automatic renewal

Recurring charges. Paid placements are sold as subscriptions. When you purchase, you authorize us and our payment processor to charge your payment method the amount and at the frequency disclosed at checkout, on an automatically recurring basis until you cancel.

Disclosure and consent. The recurring amount, billing frequency, and cancellation method are disclosed to you before payment. Your purchase constitutes affirmative consent to those automatically recurring charges. We will send an acknowledgment describing the terms and how to cancel.

Rate lock. Where we offer a locked or founding rate, that rate applies for as long as you continuously maintain the specific placement purchased at that rate. If you cancel and later repurchase, the then-current price applies.

Payment method. You must keep a valid payment method on file. If a charge fails, we may retry, suspend the placement, or cancel it. You are responsible for applicable taxes.

Price changes. Except where a rate lock applies, we may change prices on prospective notice. Changes take effect at the next billing period after notice.

Cancellation. You may cancel at any time from your practice dashboard or by emailing support@dental.me. Cancellation stops future charges and releases the placement at the end of the current paid period. Your free practice listing remains live after cancellation. Refunds are governed by our Refund & Cancellation Policy.

Payment processing. Payments are processed by Stripe, Inc. We do not receive or store full payment card numbers. Your use of payment features is also subject to Stripe’s terms.

9. Your content and submissions

You may submit content such as profile details, services, hours, photographs, FAQ answers, and correction requests (“Your Content”). You retain ownership of Your Content.

You grant Dental.me a non-exclusive, worldwide, royalty-free, sublicensable, transferable license to host, store, reproduce, adapt, publish, display, and distribute Your Content in connection with operating, promoting, and improving the Services. This license continues for content you have published even after you stop using the Services, to the extent needed for continuity of the directory and our records.

You represent and warrant that you own or have all rights necessary to submit Your Content, that it is accurate and not misleading, and that it does not infringe any third party’s rights or violate any law. Do not submit fabricated credentials, specialties, services you do not provide, insurance you do not accept, or patient information. Do not submit protected health information about any identifiable patient.

We may review, edit, refuse, or remove any submission, and may hold submissions for review before publication.

10. Acceptable use

You agree not to: claim or alter a profile you are not authorized to control; submit false, deceptive, or fabricated information; impersonate any person or practice; scrape, crawl, harvest, or bulk-download the Services except as expressly permitted; use automated means to access the Services in a manner that burdens our infrastructure; reverse engineer or attempt to derive our scoring model; resell or redistribute our data without a written agreement; interfere with security features; upload malware; use the Services to send unsolicited communications; or use the Services for any unlawful purpose or in violation of applicable advertising, healthcare, or consumer protection laws.

11. Intellectual property

The Services, including our compilation of the directory, the Dental.me Score methodology, software, design, text, graphics, and the Dental.me name and logo, are owned by us or our licensors and protected by intellectual property laws. Except for Your Content and rights expressly granted here, we grant you a limited, revocable, non-exclusive, non-transferable license to access and use the Services for their intended purpose. All other rights are reserved. Third-party names and marks appearing on the Services belong to their owners and their appearance is not an endorsement.

12. Corrections, removal, and third-party content

Anyone may request a correction to a profile through our Data Corrections process; practice owners may claim a profile to maintain it. Every request is reviewed before a public change is made. We will consider reasonable removal requests but are not obligated to remove lawful, accurate information about a business.

The Services may contain links to or data from third parties, including mapping services and public review data. We do not control and are not responsible for third-party content, sites, or services.

13. Communications consent

By providing your contact details, you consent to receive service-related communications from us by email, including account, billing, verification, and transactional messages. These are not marketing messages and you may not be able to opt out of them while you hold an account or an active subscription. You may opt out of promotional email at any time using the unsubscribe link.

Where we place or receive telephone calls in connection with the Services, calls may be monitored or recorded as described in our Call Recording Policy, subject to applicable law.

14. Disclaimers

THE SERVICES ARE PROVIDED “AS IS” AND “AS AVAILABLE,” WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, including implied warranties of merchantability, fitness for a particular purpose, title, accuracy, and non-infringement.

Without limiting the foregoing, we do not warrant that: profile information is accurate, complete, or current; the Dental.me Score reflects the quality or suitability of any practice; the Services will be uninterrupted, secure, or error-free; or that any Featured placement will produce any particular number of impressions, clicks, calls, patients, revenue, or other result.

Some jurisdictions do not allow certain warranty exclusions, so some of these may not apply to you.

15. Limitation of liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, DENTAL.ME AND ITS OFFICERS, DIRECTORS, EMPLOYEES, AND AGENTS WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY, OR PUNITIVE DAMAGES, OR FOR ANY LOSS OF PROFITS, REVENUE, DATA, GOODWILL, PATIENTS, OR BUSINESS OPPORTUNITY, arising out of or relating to the Services, whether based in contract, tort, negligence, strict liability, or otherwise, even if advised of the possibility of such damages.

OUR TOTAL AGGREGATE LIABILITY arising out of or relating to the Services or these Terms WILL NOT EXCEED THE GREATER OF (A) THE AMOUNTS YOU PAID US IN THE TWELVE (12) MONTHS BEFORE THE EVENT GIVING RISE TO THE CLAIM, OR (B) ONE HUNDRED U.S. DOLLARS ($100).

We are not liable for any decision made in reliance on directory information, or for any interaction, transaction, treatment, or dispute between you and any dental practice. Some jurisdictions do not allow certain limitations, so some of these may not apply to you.

16. Dispute resolution, arbitration, and class waiver

Please read this section carefully. It affects your rights.

Informal resolution first. Before starting a formal proceeding, you agree to contact us at support@dental.me with a written description of the dispute and to attempt in good faith to resolve it for at least sixty (60) days.

Binding arbitration. If informal resolution fails, any dispute arising out of or relating to these Terms or the Services will be resolved by final and binding individual arbitration administered by the American Arbitration Association under its Consumer Arbitration Rules, before a single arbitrator, seated in [COUNTY, STATE] or conducted remotely. The Federal Arbitration Act governs this section.

Exceptions. Either party may bring an individual claim in small claims court, and either party may seek injunctive relief in court for infringement or misuse of intellectual property.

CLASS ACTION WAIVER. YOU AND DENTAL.ME AGREE THAT EACH MAY BRING CLAIMS AGAINST THE OTHER ONLY IN AN INDIVIDUAL CAPACITY, AND NOT AS A PLAINTIFF OR CLASS MEMBER IN ANY PURPORTED CLASS, COLLECTIVE, OR REPRESENTATIVE PROCEEDING. The arbitrator may not consolidate claims or preside over any form of representative proceeding.

Opt-out. You may opt out of this arbitration agreement by emailing support@dental.me with your name, the practice or account concerned, and a clear statement that you opt out of arbitration, within thirty (30) days of first accepting these Terms. Opting out does not affect the rest of these Terms.

If the class action waiver is found unenforceable as to a particular claim, that claim will proceed in court and the remainder will remain in arbitration.

17. Governing law and venue

These Terms are governed by the laws of the State of [STATE], without regard to conflict-of-laws rules. Subject to Section 16, you and we submit to the exclusive jurisdiction of the state and federal courts located in [COUNTY, STATE].

18. Term, suspension, and termination

These Terms apply while you use the Services. You may stop using the Services at any time and may cancel any subscription as described above. We may suspend or terminate your access, a claim, a verification, or a placement, with or without notice, if we reasonably believe you have breached these Terms, if required by law, or to protect the Services or other users. On termination, Sections 9 (license granted), 11, 14, 15, 16, 17, and 19 survive.

19. Changes to these Terms

We may update these Terms. If we make material changes, we will update the “Last updated” date and, where required, give notice through the Services or by email. Changes apply prospectively. Material changes affecting an active subscription take effect at the start of the next billing period. Your continued use after changes take effect constitutes acceptance.

20. General

Entire agreement. These Terms, together with the policies incorporated by reference, are the entire agreement between you and us regarding the Services. Severability. If any provision is unenforceable, the rest remains in effect. No waiver. Our failure to enforce a provision is not a waiver. Assignment. You may not assign these Terms without our written consent; we may assign them in connection with a merger, acquisition, or sale of assets. Force majeure. We are not liable for delays or failures caused by events beyond our reasonable control. No third-party beneficiaries. Headings are for convenience only.

Organic Dental.me rankings are independent. A dentist cannot buy a better organic rank or a better Dental.me Score. Paid Featured placements are premium visibility products, labeled separately, and kept apart from the organic list. This gives practice teams a real advertising path without weakening the trust patients expect from an independent directory.

For patients, the practical goal is simple: compare offices by city, specialty path, phone, address, website, provider names, ratings, review volume, hours, profile completeness, nearby alternatives, and Dental.me Score. For dentists, the practical goal is profile control: claim the profile, correct outdated information, add stronger details, and request paid visibility where appropriate. For search engines and LLMs, the practical goal is clean structure: visible facts, matching schema, canonical URLs, indexable sitemaps, and crawlable internal links.
