Call Recording Policy
Plain-language summary. All outbound calls from the founder Call Cockpit can be recorded for quality, training, and dispute resolution after the called party hears the disclosure and agrees. Call recording is not active until dental.me enables an approved provider and secure encrypted storage.
Consent required
- dental.me uses a Florida all-party consent standard for recorded calls.
- An operator must state the recording disclosure before recording begins.
- If consent is not given, the operator must end recording immediately and either continue unrecorded or politely end the call.
- If a participant asks to stop recording, the operator must use the one-click Stop Recording control.
Disclosure script
“Hi, this is [name] with dental.me. This call is being recorded for quality and training purposes. Is that okay with you?”
Retention, legal holds, and deletion
- Recordings are stored encrypted at rest.
- Recordings are retained for 90 days by default and auto-deleted after 90 days unless flagged for legal hold.
- An administrator can place a recording on legal hold with a written reason, actor, and date in the audit log.
- A practice can request a copy or deletion of any recording involving that practice by emailing support@dental.me with the practice ID and approximate call date. dental.me responds within 5 business days.
- No recordings are shared with third parties without legal compulsion or written practice authorization.
- Dentist owner accounts cannot access call recordings through the website.
Current status
Call recording is disabled until dental.me completes provider, storage, legal, and operational activation. The policy and disclosure workflow may appear in the back office before actual recording is enabled.
